You can send a request to parents/guardians of your students to approve their child's course plan using Xello Family. A request can be sent for the upcoming year's course plan, the student's 4-year course plan, or both. From your educator account, send an individual request or bulk send requests to entire grades or groups. The parent/guardian will receive an email notification alerting them that their child's course plan is ready for review. They'll log in to Xello Family to review and approve the course plan. Then you can run a report to track the approval requests that have been sent out and when, which parents have approved their child's plans, and more.

Send a course plan approval request

You can send two separate requests when it's applicable: one to get parent approval on the upcoming school year course plan, and another to get approval on the student's 4-year course plan. To send a course planner approval to a parent/guardian:

  1. In the search bar located at the top of any page in your educator account, enter the student's name or ID.

    tipTip: Alternatively, from the left menu, click Students and select Student list to browse the full list of students.
  2. Click on the student's name. The About student tab of their profile opens.

  3. Click the Course Planner tab.

  4. Click Send request to send a request for the upcoming school year course plan and/or the student's 4-year plan.

    tipNote: If the parent/guardian hasn't been sent a linking request before, you'll need to add the parent first.

Bulk send course plan approval requests

You can send two separate requests when it's applicable: one to get parent approval on the upcoming school year course plan, and another to get approval on the student's 4-year course plan. To bulk send parent/guardian approval requests:

  1. From your educator account, click Features and select Courses & Diplomas.

  2. Click Student course plans to open the student list.

  3. Select the students you want to send a parent/guardian approval to.
    tipTip: Narrow the list using filters. Click Filter and choose from grade, educator, group and more. Then click Selected (0) to select the entire narrowed list.
  4. Click the Request parent approval dropdown and select the approvals you want to request.

  5. In the window, confirm by clicking Send emails.
    tipNote: If the parent/guardian has not yet been linked to a student, they won't receive an email.

Run a report on parent/guardian approvals

You can run a report indicating how many parent/guardians have been sent an approval request, how many of them have approved, the name of the approver and the date approval was given.

To run a report on the parent course plan approval:

  1. From your Educator Account, click Reports and select Student work.

  2. Scroll down to Course Planner submission.
  3. In the Select report dropdown, select Submission summary to view a table listing the course plan submission statuses.
  4. To view the list of parent/guardians who have approved and when, click Approved by parent.
